Quote-to-invoice workflow for inspection companies

AMPS connects every step from the job being opened to the invoice landing in Xero, so nothing waits in an inbox: reports are sent from the job, time and costs are logged against it, and marking it ready for invoicing shows up for the office in real time.

Capabilities

  • Jobs page: Create, assign and follow every job with its status.
  • Timesheets: Easy entry per job, batch export for entire inspection teams, export to your payroll system.
  • Reimbursable costs: Mark a cost as reimbursable and it shows as such on the timesheet.
  • Xero: Invoices created from AMPS in Xero with items, services and account codes linked; only the bare minimum of client data stored in AMPS.
  • Email actions: Email AMPS to create jobs, add costs and file documents.
  • Quotes and reports by email: Send quotes and reports directly from AMPS through Mailgun, keeping the record on the job.

Where the money leaks

Between the last weld tested and the invoice: reports emailed but never registered as sent, jobs technicians consider finished but nobody closed, timesheets submitted weeks late, PO numbers retyped wrongly on the invoice.

How AMPS closes the loop

AMPS runs the job pipeline from creation and assignment through execution, reporting, timesheets and closure; a job marked ready for invoicing is visible to administrative staff in real time and the invoice is created in Xero. Reports and quotes go to the client from AMPS so the send is on record. Timesheets are entered per job, exported in batch for whole teams and to payroll, with reimbursable costs shown as such. Email actions let field staff create jobs or add costs by emailing AMPS.

Seeing the margin

All AMPS data is available to Power BI, which is how customers compare job or shutdown performance, costs and time allocation.

Frequently asked questions

Does AMPS do quoting?
AMPS sends quotes and documents directly from the job by email through Mailgun and carries QR codes on quotes, jobs and documents. Detailed pricing catalogues come from Xero, whose items and services are linked to AMPS so nobody has to remember prices.
How does invoicing work with Xero?
When a job is marked ready for invoicing, administrative staff see it immediately and create the invoice in Xero from AMPS, with Xero items and account codes already linked. Client data stays in sync with only the bare minimum stored in AMPS.
We use MYOB, not Xero. Can we still use AMPS?
Xero is the standard integration. A MYOB integration exists for Enterprise customers and is finalised on request as part of the custom integrations included in the Enterprise plan at no extra charge. Tell the team during your trial or demo if MYOB is a requirement.
What does it cost?
AMPS is priced per user per month in New Zealand dollars, excluding GST, with every feature included: Starter NZ$60 (up to 50 users), Business NZ$50 (51 to 100 users) and Enterprise on quote with custom integrations at no extra charge. There are no add-ons or hidden fees, and a free trial with access to all features is available on request.
