The daily report problem

The daily field report is the most repetitive document in field work and the one most likely to be late. The same header is retyped every day, the photos are still on someone’s phone at the end of the week, the hours on the report and the hours on the timesheet disagree, and the client’s progress claim stalls while somebody reconciles them.

None of that is a template problem. It is a problem of the report living somewhere other than the job.

How AMPS does it

The daily field report is generated from the job, so everything the job already knows is already in the document: client, site, job and PO number, the asset being worked on, equipment serial numbers and the date. The crew fills in what actually varies, which is the work done, the findings, the delays and the crew list.

Photos taken on a phone attach to the job as they are captured, so they are in the job folder before anyone leaves site and available to drop into the report. Hours go on as timesheet entries against the same job, and reimbursable costs are marked as such on the timesheet, which is what keeps the report and the invoice from disagreeing later.

On multi-day work the crew copies the previous day’s report and AMPS refills the fields that change. For a two-week shutdown that removes most of the typing from thirteen of the fourteen reports.

The finished report is signed in AMPS and emailed to the client from AMPS, so there is a record of what was sent and when, and it is filed in the job folder in your own OneDrive, SharePoint or Google Drive.

Your template, not ours

Any Word document becomes the template. This matters more than it sounds. A daily field report format is usually specified in the contract or approved by the client’s document control group, and swapping it for a generic form builder’s layout means going back to the client for approval. AMPS fills your document instead of replacing it.

Because the template is yours, the same mechanism covers inspection reports, punch lists, JSAs, handover certificates and anything else already written as a Word document.

What it adds up to

Every daily report sits on the job, and every job sits on the asset it was performed on. Scanning the asset’s QR code six months later opens the history including that day’s report and its photos. Across a project, the daily reports become data: hours by crew, delay reasons, completion rate and cost per asset, all available to Power BI without re-keying, which turns the weekly client report into a filter rather than a compilation.

Limits worth knowing

AMPS needs an internet connection. There is no offline mode, so a crew working out of coverage completes the report once back in signal, with the job, its photos and its hours already captured. There is no client portal yet either: reports go to the client by email from AMPS, or through a link from your own cloud storage.

What is a daily field report?
A daily field report, or DFR, is the record a crew produces at the end of each day on site: who was there, hours worked, equipment used, what was completed, what was found, delays and weather, with photos. On oil and gas and construction work it is usually contractual, feeds progress claims and becomes the evidence in any later dispute about what happened on a given day.
Can we keep our existing daily report format?
Yes, and that is the point of the AMPS approach. The template is your own Word document. AMPS marks the fields it should fill from the job and leaves the rest of the layout untouched, so a format your client's document control group has already approved keeps working without renegotiation.
Does the crew need an app installed?
No. AMPS is a responsive web application that runs in the browser on a phone, tablet or computer. There is nothing to install or update on the crew's devices, but it does need an internet connection: there is no offline mode.
How do daily field reports connect to invoicing?
The hours and reimbursable costs behind the daily report are logged against the same job as timesheet entries. When the job is marked ready for invoicing, administrative staff see it in real time and the invoice is raised in Xero using Xero items and account codes linked to AMPS, so the day's labour, the day's report and the invoice line all refer to the same record.
Can we report across all the daily reports for a project?
Yes. All AMPS data is available to Power BI, so hours, costs, completion and delay reasons roll up across a job group, a shutdown or a whole contract. Jobs can be grouped, for example per turnaround or per site, so a weekly client report is a filter rather than a re-keying exercise.
