The enquiry-to-invoice workflow for inspection companies, step by step

An inspection job passes through six steps: creation, assignment, execution, reporting, time and cost capture, closure and invoicing. Most delays sit between reporting and invoicing, and most errors come from retyping references between systems.

1. Job creation

A supervisor, administrator or inspector opens the job with client information, PO or work order number and the scope. Everything entered here should never be typed again.

2. Assignment

The supervisor allocates the job to a technician with the necessary documents attached, checking certificates and equipment calibration at that moment.

3. Execution

The technician does the work and captures photos and documents on the job as they go.

4. Reporting

The report is generated from the approved template with job data in place, completed, signed and sent to the client from the system, so the organisation knows what was sent and when.

5. Time and costs

Hours and reimbursable costs are logged against the job the same day; they feed both billing and payroll.

6. Closure and invoicing

The job is marked complete and ready for invoicing; the office sees it immediately and raises the invoice with the references already on the job.
